A fully automated booking confirmation and reminder system built on ManyChat, Zapier, and Calendly — delivering real-time WhatsApp messages to 400+ contacts with confirm, reschedule, and cancel options.

About the project
StrategicFBA was booking hundreds of Amazon FBA strategy calls every month but had no automated system to confirm, remind, or manage changes — leading to no-shows and wasted team time.
We built a complete appointment automation system connecting Calendly, Zapier, and ManyChat. The moment a call is booked, the lead receives a personalized WhatsApp confirmation with three interactive buttons — Confirm, Reschedule, or Cancel. A 24-hour reminder fires automatically with prep instructions, and a final 1-hour reminder includes the Zoom link. All appointment data is mapped dynamically so every message feels personal, not automated.
Challanges
The challenge was building a system that felt personal at scale — handling hundreds of contacts without a single manual touchpoint.
WhatsApp's messaging rules required careful flow architecture to ensure delivery without triggering spam filters. Appointment data — dates, times, and meeting URLs — had to be pulled dynamically from Calendly via Zapier and mapped into ManyChat custom fields in real time. New and returning contacts needed separate paths to avoid duplicate messages. The result was a clean, fully automated system that handled confirmations, reminders, reschedules, and cancellations without any human involvement.

With the system live, StrategicFBA eliminated manual appointment follow-up entirely. Leads receive instant WhatsApp confirmations the moment they book, a 24-hour reminder with prep materials, and a 1-hour final nudge with their Zoom link. The confirm button alone achieved a 53% CTR — meaning the majority of booked leads actively engaged before the call. Reschedules and cancellations are handled automatically, freeing the team to focus on delivering the sessions, not chasing attendance.
